A useful training register shows what a person completed, the supporting evidence and what needs reviewing next. It helps managers plan follow up before an outstanding requirement affects the rota.

The register supports decisions. It does not by itself certify competence, replace supervision or establish that an employee is authorised for every task.

Record the details that make evidence usable

A certificate image with no context can be difficult to assess months later. Record the course or qualification name, employee, completion date, provider where relevant and any expiry or review date.

Distinguish an actual expiry date from an internal review date. Some records need a periodic management review even when the document does not have an expiry date. Do not invent an expiry simply to fill a blank field.

Keep evidence readable and associated with the right employee. If a document covers several people, make the individual status clear.

A fictional training matrix

The following example illustrates record organisation. It is not a mandatory training schedule.

A status such as “booked” must not be displayed or understood as “completed”. The difference matters when planning work.

Review upcoming dates with the rota

Look ahead far enough to arrange the training your business needs. Check the employee’s availability, leave and planned shifts before booking a session.

If a qualification is due to expire, determine what that means for the employee’s work under the applicable rules and your organisation’s requirements. The manager should make the appropriate staffing decision rather than assuming the software will prevent every unsuitable assignment.

For care settings, training records are one part of a wider suitability and safe staffing assessment. Read the care home leave and cover guide for the connected planning process.

Give each follow up a clear owner

A useful action says who will do what and by when: “The training coordinator will confirm the renewal booking by Friday.” “Needs attention” is too vague to manage.

Check the action after the session. Did the employee attend? Was completion confirmed? Is there new evidence to file? Does the recorded date need updating?

Avoid closing the task merely because an invitation was sent. The invitation, attendance and completion record are different stages.

Deal with missing or conflicting evidence

If the register and document disagree, check the source before changing the record. Ask the employee or relevant provider through the employer’s appropriate process.

Keep a note of the correction and its basis. If evidence is still missing, show that uncertainty clearly rather than filling in a guessed date.

Access should be limited to people with a legitimate role in managing the records. Do not share a whole staff training file in a general workplace chat.

Make the review part of the working month

Choose a regular review point for upcoming dates, incomplete records and overdue actions. Share the relevant staffing implications with the manager building the rota.

TeamZap’s training and qualification features bring courses, sessions, enrolments, certificates and a training matrix into the HR workflow. Employee records and checklists help keep ownership and follow up connected.

Frequently asked questions

Is a booked course the same as completed training?

No. Keep booking, attendance, completion and evidence as distinct stages in the record.

Does a certificate guarantee that someone is competent for a role?

No. Competence and suitability may require additional assessment, supervision and checks relevant to the work.
