A good employee leaving process coordinates the final working day, future shifts, handover, records and access. Give each task an owner and a due date so the departure does not depend on one manager remembering everything.
The checklist below is an operational outline. Employment, final pay and record retention decisions need to follow the arrangements and rules that apply to the individual.
Confirm the dates and responsibilities
Establish the agreed leaving date and last working shift through the appropriate employer process. They may not be the same date.
Name a manager responsible for coordinating the checklist. That person should know which tasks belong to payroll, the employee’s line manager, an administrator or another authorised colleague.
Keep the communication respectful and limited to the people who need the information. A staff announcement does not need to explain private circumstances.
A checklist with owners
| Area | Action | Suggested owner |
|---|---|---|
| Future shifts | Review shifts after the leaving date and arrange cover | Rota manager |
| Handover | Identify open work and the colleague taking it over | Line manager |
| Leave | Reconcile the relevant leave record for final pay review | HR or payroll contact |
| Hours and claims | Resolve attendance and outstanding expenses | Authorised reviewer |
| Equipment | Agree return of keys, uniform or business devices | Line manager |
| Access | Schedule account and permission changes | Account administrator |
| Records | Apply the relevant retention process | Records owner |
These are suggested roles. In a small business one person may hold several responsibilities, but the actions should still be explicit.
Review the rota before the final week
Find shifts assigned after the employee is due to leave. Do not wait for an absence to reveal an old recurring assignment.
Check whether the person holds an opening, closing or specialist responsibility. Arrange suitable cover and update the published plan. If a colleague agrees to help, complete the manager review before treating the change as confirmed.
Use open shifts and cover where appropriate, while keeping the suitability decision with the manager.
Finish the records while questions are easy to answer
Ask the employee about incomplete attendance records and outstanding claims before their last shift where practical. Confirm who will answer any later query.
Review the leave record for the final pay process. Do not guess an entitlement or make an automatic deduction from a checklist tick. For Great Britain, the Acas guidance on holidays and leaving explains that unused entitlement and any agreed recovery require careful treatment.
Keep the underlying calculation and decision with the payroll or HR reviewer.
Plan access changes for the right time
Identify the accounts, devices and workplace access the employee uses. Agree the effective time for changes, taking account of the final work and any legitimate need to access documents.
Restrict employment record changes to authorised staff. Do not share the departing employee’s credentials with a replacement colleague.
Removing account access and deleting records are separate decisions. Retain or erase information according to the applicable purpose, obligations and retention process.
A fictional final handover
A café supervisor leaves on Sunday. The manager notices that the next month’s copied rota still includes two opening shifts. Those shifts are reassigned and published before Sunday.
The supervisor returns keys, explains an outstanding supplier task and confirms a missing clock out. The administrator completes the access changes at the agreed time. Payroll receives the reviewed hours and the leave query with a named contact.
The value is in the sequence: work is handed over before access changes, and future shifts are corrected before they become a problem.
TeamZap’s checklists and onboarding tools, employee management and HR documents help organise the records and responsibilities.
Frequently asked questions
Should I delete all records when an employee leaves?
No. Access removal and retention are different decisions. Follow the applicable requirements and your documented retention process for each record type.
What is the most easily missed rota task?
Check future and copied shifts after the leaving date, including opening, closing or specialist responsibilities that need suitable cover.
