A reliable holiday balance starts with reliable inputs. Check the leave year, entitlement method, employment dates, working pattern and leave already recorded before trying to explain the final number.

The number on screen is the result of those settings and transactions. If one input is wrong, repeatedly adjusting the balance can conceal the cause.

Separate the parts of the balance

Employers and systems may present balances differently. Make the definitions clear to managers and staff.

PartWhat to check
EntitlementThe allowance or accrual appropriate to the employee
Carry forwardAny amount brought into the year under the applicable rules
Taken leaveApproved leave that has already happened
Future approved leaveDates committed but not yet taken
Pending requestsRequests still awaiting a decision
AdjustmentsAuthorised changes with an explanation

Do not assume pending requests are treated like approved leave. Explain how the system’s displayed available amount relates to each status.

A simple fictional reconciliation

Assume an employee has 160 hours of leave available for the year, no carry forward, 40 hours already taken and 24 hours approved for later dates.

In this simplified example, 96 hours remain uncommitted: 160 minus 40 minus 24. If another 16 hours are only requested, keep that pending request visible separately unless the displayed balance explicitly reserves it.

This is an illustration of reconciliation, not a statutory entitlement calculation. The correct starting allowance depends on the employee’s jurisdiction and working arrangement.

Check changes that affect the inputs

A new starter, a leaver or an employee changing hours may need a review of the applicable calculation. Confirm the effective date of the change and whether the existing settings reflect it.

Avoid converting hours to days using a guessed standard day. Someone working different shift lengths may need a different explanation from a person working the same hours each day.

Use the maintained annual leave guides and the relevant holiday tools to understand supported calculations. Do not treat a rule of thumb as suitable for every worker.

Investigate a balance query in order

  1. Confirm the correct employee and leave year.
  2. Review employment dates and working pattern.
  3. Check the entitlement method and policy settings.
  4. Compare taken leave with the underlying approved requests.
  5. Check future approved and pending requests separately.
  6. Review carry forward and adjustments.
  7. Explain the result or make an authorised correction with a reason.

This order helps distinguish a wrong input from a misunderstood display. It also gives the employee a clearer answer than “the system says so”.

A useful response to an employee

Suppose an employee asks why their remaining amount appears lower than expected. The manager can explain the starting allowance, what has been taken and what is already approved for later.

Provide the relevant dates and figures through an appropriate private route. If a request was entered twice or a working pattern changed, explain the correction and check the resulting balance together.

Keep personal leave information out of a general team chat. The employee’s query belongs with the people responsible for their record.

Build a regular review into the year

Review balances after material employment changes and at sensible points before the leave year ends. Look for employees with no planned leave as well as records with unusually large adjustments.

For Great Britain, employers should plan so staff can take the leave to which they are entitled. See Acas guidance on managing holiday and the appropriate local guidance for other jurisdictions.

TeamZap’s leave management tools keep entitlements, requests, balances and carry forward together. Employees can check their information in the staff app, while managers handle decisions and corrections.

Frequently asked questions

Why does a pending request make the balance confusing?

A pending request is not yet an approval. Check whether the displayed available amount reserves pending requests or only deducts approved leave.

Can I use one day length for every employee?

Do not assume that. Check the working pattern and the units used for the employee’s entitlement and requests.
