HR documents a shift business should organise

An organised HR document process makes it clear which document belongs to which employee, which version is current and whether an action is still outstanding. A folder full of files is only the starting point.

For a shift business, the useful goal is being able to answer a practical question quickly: has this person received the current policy, returned the required document or completed the signature request?

Start with a document register

Group documents by purpose before deciding where to store them. The examples below are practical categories, not a universal list of legal requirements.

CategoryExamplesUseful status
EmploymentContract and agreed variationsCurrent version and signature status
OnboardingStarter documents and induction materialsRequested, received or needs review
Workplace policiesAttendance and communication policiesVersion issued and acknowledgement
Training evidenceCourse records and certificatesCompletion and relevant review dates
Role changesAgreed responsibilities or working pattern changesEffective date and related records

Different records may need different permissions and retention arrangements. Do not give every manager access to every document simply because the system can hold them.

Separate a template from an employee’s copy

A template is the starting document. An issued employee copy is a record of what that person received. If the template changes, do not silently replace the employee’s earlier signed version.

Keep a clear version name and effective date where appropriate. Record which version was issued and whether a later version replaces it. This makes a future question easier to answer without relying on someone’s memory.

TeamZap’s HR document tools support templates, document packages, employee files and electronic signature tracking.

Give outstanding actions an owner

A signature request can sit unanswered if everyone assumes another manager is following it up. Decide who reviews outstanding requests and how they contact the employee.

For example, a new starter may have received an induction package but missed one document. The manager should check whether the issue is access, an unanswered question or a missing action before sending the same reminder again.

Keep the conversation private and relevant. A public list of employees who have not signed is rarely the best way to resolve a document question.

A monthly document review

  1. Review new starters and recent role changes.
  2. Check outstanding documents and signature requests.
  3. Confirm the current versions of regularly used templates.
  4. Review access for managers and leavers.
  5. Identify records due for review under your retention process.
  6. Assign follow up actions and record completion.

The review does not need to become a full audit every month. Its purpose is to stop small outstanding tasks from becoming an unexplained backlog.

Connect documents with onboarding

A document request is easier to understand when it sits within a clear starter process. Tell the employee what the document is, why it is needed and whom to ask about it.

Use a checklist to coordinate the manager’s tasks with the employee’s actions. A completed checklist should point to the actual record where evidence is required; ticking a box does not create the evidence.

See the onboarding checklist and TeamZap checklists.

Keep access and retention deliberate

Employee records can contain sensitive information. Decide what is necessary, who needs access and how long the record should be retained under the rules and circumstances that apply.

Avoid treating a single retention period as correct for every document. Keep the business’s retention process separate from the convenience of leaving everything in a folder indefinitely.

TeamZap provides employee management and security controls to support the workflow. The employer remains responsible for the purpose and handling of the information it stores.

Frequently asked questions

Should updating a template replace old signed documents?

No. Keep the issued record and its version clear. A later template change should not obscure what an employee previously received or signed.

Does a completed checklist prove a document is valid?

No. The checklist records a task. Review the actual document, evidence and required approvals separately.
