Managing staff records across several workplaces
Keep shared employee information consistent while organising location assignments, attendance and local instructions across several workplaces.

Managing staff records across workplaces starts with separating shared employee information from local operational detail. A person’s identity and employment record should remain consistent, while their assigned workplaces, shifts and local instructions may differ.
Agree who owns each kind of information before the business grows into several competing spreadsheets.
Decide what belongs to the employee
Core contact information, employment dates and relevant documents should have a clear owner. Avoid copying the same record into several files simply because an employee covers more than one workplace.
A duplicate can look harmless until one manager changes a phone number and another changes the leaving date. Staff then receive inconsistent messages or appear in the wrong reporting period.
Decide what belongs to the workplace
Opening times, staff entrances, local clocking instructions and duty contacts usually need a location context. Make the distinction visible in the way the information is named and maintained.
| Information | Suggested owner | Review trigger |
|---|---|---|
| Core employee details | Named HR or business administrator | Employee reports a change |
| Location assignment | Authorised administrator | Transfer or agreed cover |
| Published shifts | Scheduling manager | Rota publication or amendment |
| Clocking instructions | Location lead with administrator | New method or changed entrance |
| Local induction | Receiving workplace manager | First shift at the location |
| Access permissions | Authorised account administrator | Role change or departure |
This is an example responsibility model, not a description of automatic permission enforcement.
A cross location cover example
A fictional retail employee normally works at Store A and agrees to cover Saturday at Store B. The manager checks the employee’s availability and suitability, confirms the location assignment required by the system and publishes the agreed shift.
The employee also needs the correct entrance, reporting contact and clocking instructions. A location name on the rota cannot replace that practical briefing.
After the shift, review attendance against the correct location and period. Resolve any mismatch before using the hours in a location report or payroll export.
Check permissions separately from organisation
Location filters help organise information. They are not automatically security boundaries. Test what each role can view and change before relying on an organisational structure to protect confidential records.
TeamZap supports multiple location workflows, but current manager access is not restricted to an assigned location. Self service signup starts with one location. Discuss a wider setup with TeamZap before committing to a particular structure.
Keep transfers and departures coordinated
When a person transfers, review future shifts, local instructions and the people responsible for requests. Confirm who will resolve outstanding attendance or expense queries from the previous location.
When someone leaves, the record owner should coordinate with all affected workplaces. Removing one future shift does not complete the employee leaving process. Use the leaving checklist to connect rota, records and access tasks.
Run a regular consistency check
Review duplicate profiles, missing assignments and unresolved changes. Check that staff can identify their workplace on the current rota and know who to contact there.
TeamZap’s employee management brings staff details into the wider HR workflow. Combine that with a clear responsibility model, the weekly reporting routine and location specific instructions to make cover easier to coordinate.
Frequently asked questions
Should an employee have a separate record for each workplace?
Avoid unnecessary duplicate records. Keep the employee’s core information consistent and manage location assignments separately where the system supports that workflow.
Does a location assignment restrict a manager’s access in TeamZap?
Do not assume it does. Current manager access is not restricted to an assigned location. Confirm the available permissions before using locations as a confidentiality boundary.
