A clear process for staff expenses and mileage
Give staff a practical route for receipts, journey details and expense approval. Use a claim checklist and separate approval from reimbursement.

A clear expenses process tells staff what they can claim, what evidence to provide and who approves it. It also explains what happens after approval, so an employee does not mistake an approved claim for a payment already made.
Keep ordinary expenses and mileage within the same review routine, while recording the details each type needs.
Start with the policy staff can actually use
Explain the permitted categories, approval limits, required evidence and submission deadline. Give employees a contact for unusual purchases before they commit to spending.
If the business uses different rules for different roles or journeys, make those differences explicit. “Reasonable expenses” is difficult to follow without examples.
Keep the policy available alongside the claim route. A staff member should not need to search old messages to find the receipt requirement.
Check a purchase claim
| Item | What the reviewer needs |
|---|---|
| Date | When the expense occurred |
| Business purpose | Why it relates to the work |
| Amount and currency | What was actually spent |
| Category | The relevant policy category |
| Evidence | A readable receipt or the permitted alternative |
| Approval | The authorised reviewer and outcome |
A receipt photo supports the review. It does not remove the need to check the amount, purpose and policy.
TeamZap supports receipt evidence within its expenses workflow. Do not assume a photograph is automatically read by automatic receipt data extraction or that every field is completed for the employee.
Check a mileage claim separately
A mileage record should make the journey understandable: date, business purpose, start and destination, distance and the relevant vehicle or rate information.
Distinguish the employer’s reimbursement policy from tax treatment. A rate used for tax purposes is not automatically the amount every employer must pay. Check current rules for the jurisdiction and journey rather than copying a figure from an old spreadsheet.
For UK employee vehicle mileage, use the current HMRC rules for tax. This article does not reproduce rates, so the primary source remains the reference for the current tax position.
A fictional claim review
A field supervisor submits a £12 parking receipt and a mileage claim for a client visit. The parking image is readable, but the journey has no destination.
The reviewer asks for the missing journey detail rather than rejecting the entire report without explanation. Once the information is supplied, they check each item against the policy and record the decision.
If one item is not approved, give the reason against that item. The employee should be able to understand what needs correcting.
Keep approval and payment distinct
Define who passes approved claims into the reimbursement or payroll process and when that happens. Keep a reference to the period or payment batch where your process uses one.
TeamZap helps collect and review expense records. It does not automatically reimburse an employee or complete tax reporting simply because a manager approves the claim.
Before exporting, check for duplicate submissions, missing evidence and any amendments made after a previous review.
Make month end easier
Ask staff to submit claims while the purpose and evidence are still easy to recall. Give reviewers a regular time to clear queries rather than leaving all decisions to the payment deadline.
Review recurring questions. If several people misunderstand the same category, improve the policy example. If receipt images are consistently unreadable, show staff a simple example of the required evidence.

Frequently asked questions
Does approval mean an expense has been paid?
No. Approval is a review decision. Reimbursement must still follow the employer’s payment or payroll process.
Does a receipt photo automatically fill in the claim?
Do not assume that. TeamZap supports receipt evidence, but this workflow does not promise automatic receipt data extraction or automatic completion of the claim fields.
