Planning nursery staff holidays and cover
Review nursery holiday requests with staff roles, qualifications and planned cover in view. Use a clear checklist and keep leave decisions connected to the rota.

Nursery holiday planning needs more than a count of people away. Before approving dates, managers need to understand which rooms, roles and working periods are affected and whether appropriate cover is available.
Bring the employee’s leave record, the current rota and the relevant training information into the same review. The responsible nursery manager still assesses staffing requirements and suitability.
Start with a complete request
Check the employee, requested dates, leave type and current balance. Make sure the leave year and working pattern are correct, particularly if someone recently changed their hours.
Ask staff to submit requests through the agreed route. An informal conversation can be useful, but the recorded request should show the dates being considered and the eventual decision.
Explain when employees can expect an answer. Leaving a request pending without an owner makes it difficult for the employee to plan and easy for the manager to forget.
Look at the affected work
Review the periods the employee would normally cover. A colleague who opens a room or carries a particular responsibility may need a different replacement from someone working a shorter support shift.
Check the room plan, other approved absences and the qualifications or experience relevant to the work. Do not assume that an available person is automatically a suitable person.
Rules vary by jurisdiction and setting. This checklist does not calculate staffing ratios or replace the manager’s assessment of the requirements that apply to the nursery.
A practical approval checklist
| Question | Evidence to review |
|---|---|
| Are the dates and balance correct? | Leave request and employee settings |
| Which shifts are affected? | Current published or draft rota |
| Who else is away? | Approved leave and known absence |
| Is proposed cover appropriate? | Role, qualification and training records |
| Does the change affect other shifts? | The replacement’s existing rota |
| Has cover actually been confirmed? | The approved assignment, not just a message |
Keep the reasoning proportionate and avoid putting unnecessary private information into shared rota notes.
A fictional example
Sam requests two days during a week when another practitioner already has approved leave. The manager checks Sam’s balance, identifies the affected shifts and reviews possible cover.
One colleague is available for the first day but has a training commitment on the second. The manager records the first option and continues the second day’s review instead of assuming a two day request has a single answer.
Once a decision and suitable cover are confirmed, the manager updates the leave record and rota. Sam receives a clear response, and the covering colleague can see the published shift.
Make training information useful
A training record should help a manager find the course, evidence, completion date and any relevant review or expiry date. It is less useful if the latest certificate is in one person’s inbox.
TeamZap’s training and qualification tools organise these records. A recorded certificate does not itself establish current competence or authorise a person for every responsibility.
Use the training review guide to build a consistent follow up process.
Review the leave year before the busy period arrives
Periodically look at outstanding balances and likely request pressure. Encourage early conversations about preferred dates, while following the nursery’s policy and applicable rights.
For Great Britain, the Acas holiday guidance explains that employers should manage requests fairly and ensure workers can take their entitlement. Check the relevant local guidance for other jurisdictions.

Frequently asked questions
Can TeamZap confirm that nursery staffing ratios are met?
This workflow does not promise automatic ratio verification. The responsible manager must check the requirements for the setting and the suitability of cover.
What should happen after leave is approved?
Update the leave record, confirm the covering assignments and publish the current rota so the employee and covering staff can see the decision.
