A hotel handover should tell the incoming team what changed, what still needs action and who owns each next step. The rota identifies who is working. The handover explains what those people need to know.

Keep the message short enough to use during a shift change, but specific enough that the night team does not have to reconstruct the day.

Separate three kinds of information

Start with staffing: absences, approved cover, changed start times and the duty contact. Then identify operational actions that belong in the hotel’s appropriate systems. Finally, highlight workplace notices that staff need to read.

TeamZap supports the staffing, checklist and staff communication parts. It is not a substitute for a hotel’s reservation, guest record or maintenance systems. Avoid copying sensitive guest details into a general staff announcement.

A clear boundary makes the handover easier to maintain and reduces duplicate records.

Use a consistent handover structure

PartExample question
Current teamWho is on duty and who is covering an absence?
ChangesWhich published shifts changed since the previous handover?
Open actionsWhat must the incoming team do next?
OwnershipWho is responsible and by when?
NoticesIs there an update requiring a read or acknowledgement?
EscalationWho should be contacted if the issue cannot be resolved?

The structure can be the same each day even when the content is different. That helps occasional cover staff recognise what to look for.

A fictional reception handover

The afternoon receptionist is finishing at 22:00. A colleague has agreed to cover the first hour of a later shift, but the manager has not yet approved the change.

The handover should not describe that cover as settled. It should name the outstanding approval and the manager responsible. Once approved, the rota needs updating so the incoming team sees the same plan.

A useful note might say: “The proposed start time change is awaiting the duty manager’s decision. Alex is checking it before 21:30. Until the rota is updated, follow the current published shift.”

This keeps a conversation from quietly becoming an unofficial schedule.

Give each department relevant information

Reception, housekeeping and night teams need some shared updates and some specific instructions. Choose the audience for an announcement instead of sending every detail to everyone.

A housekeeping notice about a staff briefing may need acknowledgement from that group. A business wide policy update may need a wider audience. A direct question about someone’s shift is better handled with the relevant colleague and manager.

TeamZap’s messaging and notices provide staff conversations and employer managed announcements. Read and acknowledgement status help identify follow up; they do not guarantee understanding.

Include handover time in the rota

A written checklist helps, but some matters need a conversation. If the work requires an overlap, plan it deliberately instead of relying on one team to arrive early or another to stay late informally.

Review repeated late finishes. They may show that the handover or closing work does not fit the scheduled time. Use attendance records to ask the question, then discuss the cause with the team.

Close actions instead of copying them forever

At the next handover, review the items carried forward. Mark what is complete, identify what is still blocked and give the unresolved work an owner.

An old issue copied into every message can become background noise. A concise current list is easier to act on.

Frequently asked questions

Should the staff rota contain the whole hotel handover?

No. Use the rota for the current staffing plan and the appropriate workplace systems for operational records. Link the actions through a clear handover.

Does a read receipt mean the handover is understood?

No. It indicates a recorded read event. Important or unclear actions may still need a conversation and confirmation of ownership.
