For a cleaning company, attendance is usually a site coordination problem as well as a clocking problem. A useful record needs to identify the employee, the workplace, the visit and the hours being reviewed.

Begin with accurate site assignments and a clear staff routine. Then give supervisors a short list of exceptions to resolve, instead of expecting them to watch every arrival.

Make each client site unambiguous

Use workplace names that staff can distinguish on a phone. “Office” is not enough when the business cleans several offices. A name such as “Riverside office, evening team” is easier to recognise, provided it matches your actual location structure.

Check the address and location used for attendance. If two client buildings sit close together, test whether the setup gives supervisors meaningful context. A large boundary covering both sites may not answer the question you intended to ask.

Keep a site setup record with the manager responsible, normal access arrangements and the clocking instructions. Store sensitive entry codes separately with appropriate access.

Agree the staff routine

Explain when staff should clock in, how they select the correct workplace and how to record the end of the visit. Include the process for moving between sites and reporting a device problem.

Where a client allows an NFC sticker, choose an accessible position and test the supported phone journey. Where that is unsuitable, a mobile clocking route may fit better. Read NFC or geofencing by workplace scenario.

Do not assume the client will permit a sticker simply because your team has access to the premises.

Use location as context

TeamZap can record whether the phone’s reported location is inside, outside or not checked against the workplace boundary. An outside result does not block clock in.

An inside result is not a certificate that the cleaning task was completed. A location record and a task checklist answer different questions. Keep the client’s service requirements, supervisor checks and attendance review connected without treating them as the same evidence.

A supervisor’s morning review

Consider a fictional business with three evening cleaning sites.

Assign an owner to each exception. Record whether it has been resolved, needs employee input or requires a supervisor visit. A list without owners simply becomes another place where problems wait.

Separate working time from client billing

Reviewed attendance can support an operational conversation, but it is not automatically an invoice. Your client agreement may use fixed visits, service outcomes or another charging basis.

Similarly, do not infer payroll treatment for travel or gaps between visits from an attendance total alone. Apply the relevant employment arrangements and seek advice where needed. Keep those decisions clear before exporting records.

What to review after the first month

Look for repeated site selection errors, missing finishes and confusing instructions. If a particular location produces frequent unavailable location results, investigate the practical cause rather than assuming every worker is making the same mistake.

Use the findings to improve workplace naming, supervisor training and the staff briefing. Keep a fallback for a phone that is unavailable and make sure occasional cover staff receive the instructions too.

Frequently asked questions

Does an inside geofence result prove the cleaning was completed?

No. It adds location context to an attendance action. Task completion and service quality need their own appropriate review.

Should every client site have an NFC sticker?

Only where the client permits it and the placement suits the working routine. Test the supported mobile clocking alternative where a sticker is unsuitable.
